What to put on an invoice for private tutors

As well as the basics that every invoice needs (your details, the client’s details, a number, a date and a total), private tutors should include:

  • The student’s name
  • The subject and level
  • The date of each lesson
  • Lesson length and price
  • Books or papers you supplied

Getting paid without chasing

Bill the parent or guardian as the client and put the student’s name in the reference box. If you teach siblings, one invoice with a line for each child keeps things tidy.

State your cancellation policy in the notes, for example that lessons cancelled with less than 24 hours’ notice are charged. It is far easier to enforce when it has been on every invoice.

Questions

Is it better to invoice in advance or afterwards?

Many tutors bill a month or half-term in advance, which reduces missed payments and last-minute cancellations. Either way, list the lesson dates.

Do tutors charge VAT?

Only if VAT registered, and the rules for private tuition have exceptions. If you are registered, check with HMRC or an accountant how they apply to you.
