What to put on an invoice for plumbers

As well as the basics that every invoice needs (your details, the client’s details, a number, a date and a total), plumbers should include:

  • The address where the work was done
  • The fault you found and what you did to fix it
  • Each part fitted, with its price
  • Any guarantee you give on the work
  • Your Gas Safe number, if the job involved gas

Example lines

These are the lines this template starts with. The rates are examples only, so change them to your own prices.

Getting paid without chasing

Emergency work is easiest to get paid for on the spot. Set the terms to "Due on receipt", put your bank details in the payment box and send the PDF from your phone before you pack the van.

If the customer may claim on home insurance, a clear description of the cause, such as a failed flexi hose under the kitchen sink, saves them coming back to you for a letter.

Questions

Should parts and labour be on separate lines?

Yes. It shows the customer what they paid for, and if you work under the Construction Industry Scheme the deduction only applies to labour.

Can I use this for a boiler service?

Yes. Replace the example lines with the service, and note the appliance make and model in the description.
