What to put on an invoice for painters and decorators

As well as the basics that every invoice needs (your details, the client’s details, a number, a date and a total), painters and decorators should include:

  • The rooms and surfaces you painted
  • Number of days or the fixed price
  • Paint and materials supplied
  • The paint brand, colour and finish used in each room

Example lines

These are the lines this template starts with. The rates are examples only, so change them to your own prices.

Getting paid without chasing

Noting the paint brand and colour on the invoice is a small thing customers appreciate. When they need a touch-up in two years they will look for your invoice, and your phone number is on it.

If the customer supplied the paint, say so in the description so the price makes sense to anyone reading it later.

More on this in payment terms explained.

Questions

Should I charge by the day or by the job?

Whichever you quoted. If you quoted a fixed price, use a quantity of 1 and describe what the price covered.

Can I turn a quote into an invoice?

Yes. Under "More options" change the document title to Quote, download it, and when the job is done choose Reuse in Your invoices and change the title back.
