What to put on an invoice for graphic designers

As well as the basics that every invoice needs (your details, the client’s details, a number, a date and a total), graphic designers should include:

  • The project name and what was delivered
  • The fee, or hours and rate
  • Costs passed on, such as fonts, stock images and print
  • The client’s purchase order number, if they gave you one
  • When ownership or usage rights transfer

Getting paid without chasing

A line in the notes such as "Rights in the final artwork transfer on payment in full" gives you something to point to if a client uses the work before paying.

Describe the scope on the invoice the same way you did in the proposal. If extra revision rounds were charged, list them separately so the original fee stays recognisable.

Can I add my own logo to the invoice?

Yes. Choose Add logo in the Your business section. It appears top left on the PDF and is saved for next time.

How do I invoice half up front?

Raise one invoice for "50% deposit" before you start and a second for the balance on delivery. Use Reuse to copy the first so the details match.
