What to put on an invoice for gardeners and landscapers

As well as the basics that every invoice needs (your details, the client’s details, a number, a date and a total), gardeners and landscapers should include:

  • The dates you visited
  • What you did on each visit
  • Plants, turf, compost or other materials supplied
  • Waste disposal, if you charge for it

Example lines

These are the lines this template starts with. The rates are examples only, so change them to your own prices.

Getting paid without chasing

In the growing season, a monthly invoice listing each visit works well for regular customers. Use Reuse in Your invoices to copy last month and change the dates.

For clearances and landscaping, a fixed price with a short description of the finished result is clearer than a long list of hours.

Questions

How do I bill a customer I visit every fortnight?

Invoice at the end of each month with one line per type of work and the number of visits as the quantity.

Can I charge for tipping fees?

Yes. Put waste disposal on its own line so the customer can see it is a cost you are passing on.
