What to put on an invoice for photographers

As well as the basics that every invoice needs (your details, the client’s details, a number, a date and a total), photographers should include:

  • The date and location of the shoot
  • What the fee covers: hours, edited images, albums or prints
  • How the images may be used, for commercial work
  • When the client can expect delivery

Getting paid without chasing

Most photographers send two invoices: a booking fee to hold the date, and the balance due before the shoot. On the second invoice, show the booking fee as a negative line.

For commercial clients, put the licence in the notes: who can use the images, where and for how long. It heads off awkward conversations later.

How do I invoice a booking fee?

Create an invoice with a single line such as "Booking fee for 14 June wedding" and set the terms to due on receipt.

Should I charge travel separately?

If you agreed to, yes. Set the quantity to the miles driven and the rate to your price per mile.
