What to put on an invoice for builders

As well as the basics that every invoice needs (your details, the client’s details, a number, a date and a total), builders should include:

  • The site address
  • Which stage of the job the invoice covers
  • The quote or contract it relates to
  • Labour and materials on separate lines
  • Anything agreed as an extra since the quote

Getting paid without chasing

On jobs that last more than a couple of weeks, agree stage payments before you start and raise an invoice as each stage is finished. Use the reference box for the quote number so every invoice ties back to it.

Extras cause most payment disputes. Put each one on its own line with a short note of when the customer agreed to it.

Questions

How do I invoice for a deposit?

Raise a normal invoice with one line, such as "Deposit for kitchen extension, 20% of quote Q-118". When you send the final invoice, show the deposit as a negative line so the balance is clear.
