What to put on an invoice for freelance developers

As well as the basics that every invoice needs (your details, the client’s details, a number, a date and a total), freelance developers should include:

  • The project or milestone the invoice covers
  • The period worked, for time-based billing
  • Hours or days and your rate
  • The client’s PO number or cost centre
  • Recurring costs such as hosting or licences

Getting paid without chasing

Finance teams at larger companies often reject invoices that lack a PO number, and you may not find out for weeks. Ask for it before you send the first invoice and put it in the reference box.

For retainers, use Reuse each month. The line items, client and rate carry over, and the number and dates update for you.

If the client asks for one. Otherwise a line per piece of work with the hours is normally enough.
